Upstagers Academy takes the privacy of our students, parents and guardians, tutors, volunteers and website visitors seriously. This page explains what personal information we collect, why we collect it, how we use it and the choices you have about your information.

Who we are

Upstagers Academy is the youth drama and theatre education arm of Upstagers, based in Ilkley, West Yorkshire. We provide regular acting, singing and performance classes, workshops and performance opportunities for children and young people.

Information we collect

We may collect personal information when a student joins the Academy, someone enquires about our activities, registers for a class or workshop, takes part in a performance, or otherwise communicates with us.

This may include:

  • Names and contact details
  • Parent or guardian contact details
  • Emergency contact information
  • Information relevant to a student's participation, including medical, accessibility or safeguarding information where appropriate
  • Information required for child performance licensing or chaperoning
  • Photography and video permissions
  • Information supplied through registration and consent forms
  • Correspondence with students, parents, guardians, tutors and volunteers
  • Information relating to class fees, ticket bookings and other payments

We only ask for information that is reasonably necessary to run the Academy safely and effectively.

How we use your information

We use personal information to:

  • Administer Academy classes, lessons, workshops and performances
  • Communicate with students, parents and guardians
  • Manage registrations, attendance and payments
  • Help ensure the safety and wellbeing of our students
  • Meet safeguarding, licensing and other legal or regulatory requirements
  • Organise performances and other Academy activities
  • Maintain appropriate administrative and financial records
  • Promote the Academy and its activities where appropriate

Depending on the circumstances, we process information on the basis of legitimate interests, contractual necessity, legal obligations or consent.

Children's information

Because much of our work involves children and young people, we take particular care when handling their personal information.

We collect information necessary to administer their participation safely, communicate with parents and guardians, meet safeguarding responsibilities and, where necessary, comply with child performance licensing and other legal requirements.

Where we rely on consent, it can be withdrawn. However, there may be circumstances where safeguarding, legal or administrative requirements mean that we need to retain particular information.

Photography and video

Photographs and video may be taken during Academy classes, rehearsals, workshops, showcases and other activities. These may be used to promote Upstagers Academy through our website, social media, programmes and other publicity, or retained as part of the Upstagers archive.

Where appropriate, parents and guardians are informed about the use of photography and video and can raise any concerns with us.

Google Forms

We use Google Forms for purposes including registrations, student information and consent forms. Information submitted through these forms is used only for the purposes for which it was collected and for the administration of Academy activities.

Square

We use Square to manage some payments and invoicing. Payment information is processed securely by Square and we do not receive or store complete payment card details.

TicketSource

We use TicketSource to manage online ticket bookings for Academy showcases and performances. When you book tickets through TicketSource, the information you provide is processed through their service and used to administer your booking.

How long we keep information

We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, or where we need to retain it for legal, safeguarding, financial or administrative reasons.

Different types of information may therefore be kept for different periods. We periodically review the information we hold and delete information that is no longer required.

Some photographs, programmes, cast information and other material may be retained permanently as part of the historical archive of Upstagers and Upstagers Academy.

Sharing information

We do not sell personal information.

Information may be shared where necessary with authorised Academy tutors, Upstagers trustees and volunteers, chaperones, local authorities, venues or service providers involved in delivering our activities, including services used for registrations, payments and ticket bookings. We may also share information where required by law, for safeguarding purposes or to protect someone's vital interests.

Cookies

Our website uses a small number of cookies to help the site work properly and to support embedded content.

We do not use advertising cookies, behavioural profiling or visitor analytics. Third-party services embedded in or linked from the website may set their own cookies or process information when you interact with them.

You can control and delete cookies through your web browser settings.

Email and correspondence

We retain correspondence where necessary so that we can respond to enquiries, administer Academy activities and maintain appropriate records. We do not sell contact details or add people to marketing lists without an appropriate basis for doing so.

Your rights

Under UK data protection law, you may have rights relating to your personal information, including the right to:

  • Ask what personal information we hold about you
  • Ask us to correct inaccurate information
  • Ask us to delete information in certain circumstances
  • Object to or ask us to restrict certain uses of your information
  • Withdraw consent where we rely on consent
  • Request a copy of your information in certain circumstances
